Meeting Excerpt:

Mr Black:Let's move on to talk about the damaged furniture in the warehouse. I believe that you, Ms Yellow, have done some looking into it?
Ms Yellow: Yes. As you know, we had several complaints from customers who said that damaged purchases were delivered to them. We inspected the warehouse and found that there had been water damage to many pieces of furniture. Mr Brown investigated further....
Mr Brown:Yes, and we found that after last month's storm, there was a small hole in the warehouse roof, into which water had dripped. I spoke to the warehouse manager, and he said that only a small percentage of the furniture was damaged. He went through our entire stock and took out the damaged pieces.
Mr Black:That's good, but I don't think it's acceptable that our warehouse workers didn't spot the damage before shipping the goods.
Ms Yellow: Yes, good point. The warehousemanager said that he would train the warehouse workers better on inspecting the furniture before sending it out to the customers. This never should have happened.
Mr Black: Ok, that's fine. Now, what has happened in regards to customer service? Have we replaced the damaged goods that were complained about? Mrs Green?
Mrs Green: We got a total of five complaints. In each case, we immediately sent out an apology and then went to work on sending out new, undamaged orders. Once the cause of the damage was discovered, we sent out a further explanation to these customers.
Mr Black: Would it be a good idea, do you think, to give each a discount?
Mrs Green: We considered it, but thought it wasn't necessary.
Mr Black:Ok. So what can we do to prevent this happening again?
Ms Yellow: I think we should learn from this experience. If there is another big storm, we need to immediately inspect the premises for damage. This will save us money in the future.
Mr Black: Alright. Ms Yellow, can you write up a report detailing what happened and what measures we'll take to prevent this? I'd like to be able to explain to Head Quarters exactly what happened.
Ms Yellow: Sure.
Mr Black: Ok, let's move on to the next topic on our agenda......
